When to Submit a Recital Request


Requests to schedule recitals and dress rehearsals must be submitted at least 3 weeks in advance of the desired dates, on this Google Form. For the fall semester, the first day to submit recital requests is Wednesday of week 2; the last day to submit requests is the Wednesday after the W deadline in November. The latest day that a fall recital may be held is Thursday of the last week of classes. For the spring semester, the first day to submit recital requests is Monday of fall finals week in December; the last day to submit requests is the Wednesday after the W deadline in April.; The latest day that a spring recital may be held is Sunday the day before finals week begins.


Exceptions may be made only for D.M.A. candidates scheduling their final/90-day recital.

Recital Venues

  • D.M.A. lectures, percussion recitals, and large-scale instrumental recitals are held in John Paul Rehearsal Hall.
    • If you need audience chairs set up prior to your performance, please include this information in your recital request form.
  • Piano, vocal, and small-scale instrumental recitals are held in Ward Recital Hall.

Ward Recital Hall Availability

  • Dress rehearsals may be scheduled from 10:00am-5:00pm on Monday, Tuesday, or Friday, and 10:00am-12:45pm on Thursday.
  • Recitals can be scheduled on any day of the week, with the exception of university-observed holidays, Reading Days, and days off designated by the President’s Office. 
  • The following programs have designated time slots in which to schedule their recitals:
    1. D.M.A. Orchestral Instruments: Wednesdays 1:45p.m. or 3:15p.m. (75 minutes)
    2. D.M.A. Piano: Thursdays 6:00pm or 8:00pm (90 minutes)

John Paul Rehearsal Hall Availability


This space is also used as a classroom during the daytime, and so it has a more restricted calendar for dress rehearsals. Please work directly with the Rome School Production Office
 to schedule dress rehearsals in JPH.

How to Schedule a Recital


Note: All recitalists are responsible for staffing their own recitals. This includes inviting and preparing all accompanists and guest artists, but it also includes turning on lights, opening doors, checking over the space, and setting up/breaking down equipment. 
Upon confirming your recital date, the Rome School Production Office will provide you with instructions on how to access your space.

  • All students must be registered for a recital course before submitting a formal request for a degree recital.
  • All recital requests must be pre-approved by your instructor before submission.
  • Failure to request a date 3 weeks in advance may result in not securing a date.
  • Recitals will be scheduled on a first-come, first-served basis.
  • Recitals can only be scheduled via the Recital Request Form. No recitals will be scheduled via email, phone call, or office hours.
  • A follow-up email to a Recital Request Form submission will be sent within 3 – 5 business days. 

Cancellations/Rescheduling of Recitals

  • All recital cancellation and reschedule requests must be made to the Rome School Production Office, with your instructor included on the correspondence. Requests made without your instructor’s approval will not be considered.
  • There is no guarantee that a recital can be rescheduled in the same semester. The guidelines for rescheduling a recital are subject to the same timeline restrictions as scheduling any recital.
  • If the university is closed due to inclement weather/other conditions all recitals and scheduled rehearsals are canceled. The Production Office will work with you to reschedule your recital as soon as possible. All recitals and rehearsals remain as scheduled unless an official decision to close has been declared by the university.

Programs


Note: All student recitalists are responsible for printing their own programs once the file has been approved by the Production Office. All students have access to free printing in Leahy. The Production Office recommends 20 copies per recital. (Since programs are booklet-formatted, make sure to select 'Print on both sides, flip on short edge.' If you flip on the long edge, which is the default, your program will be printed upside down!)

  • All questions regarding programs and equipment use for student events should be directed to music-recitals@cua.edu.
  • All questions regarding programs for faculty and departmental events should be directed to the Rome School Production Office.
  • Your program information must be approved by your instructor prior to submission. Programs must be submitted no later than two weeks before the scheduled recital.  Failure to submit within the deadline will result in the recitalist taking full responsibility formatting their required programs.
  • Please use the Rome School Recital Program Style Guide to submit your program information in the correct format. Your program information should be submitted in full, in a Microsoft Word or Google Doc format. No PDFs or text in the body of an email will be accepted.
  • A draft of your program will be sent back for proofreading and approval. The Production Office is not responsible for an incorrect program that has been approved.

Venue Access

  • On the day of your dress rehearsal, please arrive no more than 10 minutes before your scheduled slot. All Rome School students have access to the exterior door of Ward Hall via their Cardinal Cards, and may let themselves in for their dress rehearsals. If you are accessing Ward after business hours, have trouble with your card, or are not in contact with staff members for assistance, please contact DPS at 202-319-5111.
  • On the day of your recital, you may enter your performance venue 30 minutes prior to your recital slot. Please do not plan to access spaces any earlier, in order to avoid disrupting any events taking place before yours.
  • To access Ward Recital Hall after hours, you may use your Cardinal Card on the front door. If your Cardinal Card is not working, there is a lock box next to the front door of the general Ward building containing a key to the recital hall. The Rome School Production Office will provide you with this code when you schedule your recital. 
  • Each recital has a 15-minute load-out period. Following rehearsals and recitals, we ask that you clean up and exit the hall quickly so any events taking place after yours may begin their reservation on time. 

Additional Recital Procedures

  • There is a standard light look that is used for all recitals in Ward. Light looks are controlled by the wall box located backstage right in Ward Hall or from the booth, and should be controlled by the recitalist.
  • Custom light looks are ordinarily not allowed. Any exceptions must be completed by the recitalist (or someone the recitalist has coordinated with directly) and must be cleared with the Rome School Production Office beforehand. Inexperienced or unauthorized personnel should not attempt to operate the light board. 
  • Recitalists must coordinate the moving of their own equipment, instruments, chairs, and stands. 
  • If you need the Steinway piano on the Ward Recital Hall stage unlocked for your recital, please provide this information when you submit your recital request.
